Administrative Assistant

GENERAL RESPONSIBILITIES:

• Handles administrative tasks for each member of the department, including but not limited to:
o Answering phones and taking messages
o Filing
o Faxing
o Photocopying
o Date stamping, sorting and distributing mail
• Prepares and delivers correspondence for each member of the department on a timely basis
• Manages document flow on a timely basis, including but not limited to:
o Preparing and distributing documents internally and externally
o Updating document tracking reports simultaneously with action taken
• Processes all requests for documentation from internal or external sources as needed on a timely basis
• Processes documents on a timely basis and in compliance with departmental procedures, including but not limited to:
o Creating and maintaining folders within Microsoft WORD in accordance with the department’s procedures
o Creating and maintaining files in accordance with the department’s procedures
• Coordinates daily schedule, appointments and meetings for each member of the department
• Makes all travel and meeting arrangements for each member of the department
• Handles expense reports for each member of the department using Excel
• Interacts with internal and external business contacts
• Handles other related administrative duties or projects as assigned by any attorney or paralegal in the department
• Assists other departments in the Company as necessary.

REQUIREMENTS:
• Bachelor’s degree.
• A minimum of one year of experience working as an Administrative Assistant.

SKILLS REQUIRED:
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
• Exceptional organizational and follow-up skills
• Must be detail oriented
• Excellent written and verbal communication skills
• Ability to multi-task and prioritize
• Ability to work well with others
• Must be a self-starter and have the ability to work independently
